Five rules that end the "it won't make it" phone call in same-day delivery
quote
The quality of same-day delivery starts with the accuracy of the calendar the customer sees. Zones, cut-off hours, courier vs. cargo, special-day slot lists and a photo approval timer: five rules, zero "it won't make it" calls.

In a same-day store the most expensive phone call is the one at 15:40 that says "this order won't make it today". Losing the customer is one thing; the person making that call is not producing anything while making it. As a team that has been building same-day operations for over twenty years, this is what we see: the call is almost never the courier's fault. It is the fault of the calendar the customer saw while ordering. If the calendar is right, the phone does not ring. The five rules below are the ones configured in the Ikost panel that we have seen work in the field.

1. Define zones by neighbourhood, not by city

There is no such thing as "same-day delivery to Istanbul"; there is same day to Beşiktaş and next day to Şile. Defining delivery zones by neighbourhood or district and giving each one a "delivery-day count" (0 = same day, 1 = next day) is the first column of the calendar. The customer types their neighbourhood, or even the name of the mall or hospital they are sending to, into the box above the product lists; the system resolves the zone and lists only the products that can reach it. No "cannot be delivered to your area" surprise at the cart.

2. Tier cut-off hours by distance

A single "last order time" is not enough. 16:00 may be reasonable for the neighbourhood five minutes from the shop, while 13:00 can already be late for a far district across the water. In Ikost, every time slot has its own cut-off per distance tier: very near, near, medium, far, very far. Slots close earlier in remote zones; the customer never even sees a slot that would not make it. If a slot expires while the product waits in the cart, the system suggests a new one.

3. Separate courier products from cargo products

A fresh cake goes by courier, a box of chocolates by cargo. Both can be in the same cart, but their rules differ: the courier product follows zone and slot rules, the cargo product follows the cargo calendar (weekend skipping, order cut-off). Marking products and zones as "courier / cargo" also prevents a fragile or cold-chain product from accidentally being handed to a carrier.

4. Give special days their own slot list

On Mother's Day the normal slot list does not work: promising "12:00-14:00" for an order placed at 09:00 is not realistic for a workshop handling three hundred orders that day. Add the special day to the calendar and define a dedicated slot list for it; on that day the general slots are disabled and the customer sees only the special day's slots. Close the dates you want closed too, so they cannot be selected.

5. Put a timer on photo approval

Having the customer approve a photo of the finished product catches a wrong delivery in the workshop; but if the order waits for approval, same-day delivery is at risk. The answer is a timer: if the customer does not respond in time, the photo counts as approved and the product leaves. If they reject, they pick a reason and the product is remade. A customer who writes "change the time" in the rejection is told up front that the field is only about the photo; time changes come through the customer-service channel.

Conclusion: if the calendar is right, the phone does not ring

What these five rules have in common is this: all of them are set once in the panel, before any order, and then work by themselves on every order. Courier speed, workshop capacity and the team's attention matter, of course; but what ends the "it won't make it" call is showing the customer, from the start, only the options you can actually deliver.
